Job Responsibilities:

  • Supports operations in the Service Department by verifying and obtaining materials needed for job completion.

  • Daily payroll entry and time sheet/work order reconciliations

  • Customer billing and creating invoices

  • Close out all jobs and contracts at the end of each month

  • Account receivables and collections

  • Maintains all account receivables greater than 90 days below 10%

  • Customer invoice follow up

  • Maintains all expense reporting

  • Maintains accurate employee records

  • Communicate among supervisors, coordinators and collectors

  • Responsible for Fleet management, maintain gas logs and vehicle inventory

  • Maintains the tool crib, issues tool/equipment and purchases tools as needed

  • Minimizes expenses by negotiating prices with vendors

  • Setts up new customers and maintaining COI/W9

  • Maintains accurate records of all technology (phones/iPads/laptops)

  • Types all correspondence, memos, reports, etc for the department

  • Orders office supplies

  • May assist with scheduling and dispatching of Service Technicians

  • May supervise employees in the service department such as warehouse personnel


  • Associates degree or equivalent from a two-year college or technical school with a certificate in HVAC

  • An equivalent combination of education and experience may be accepted

  • Ability to read and interpret documents such as safety rules, operating and and maintenance instructions and procedure manuals

  • Ability to write routine reports and correspondence

  • Ability to speak effectively before groups of customers or employees of the organization

  • Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions and decimals

  • Ability to compute rates, ratios and percentages, and to draw and interpret bar graphs

  • Ability to deal with problems involving several concrete variables in standardized situations

  • Valid driver's license

  • Must be flexible to work overtime and weekends as required

  • Regular travel requirements
